# Migrating from POHODA

How to move your data from POHODA to DameDoklad, what the import covers, and what to watch out for.

Moving from another accounting program is mostly about good timing and checking. There is an overview on the [Migrating from POHODA](/en/migrate-from-pohoda/) page; here is the process in more detail.

## When to switch

The easiest time is **the start of an accounting period**. If you switch during the year, pick at least the start of a quarter and work out what is still open.

## What to prepare in POHODA

1. Finish and check the documents for the last period.
2. Print or save the **trial balance** as of the switch date.
3. Export your data areas to XML. The [manufacturer’s documentation](https://www.stormware.cz/pohoda/xml/) describes the format and availability.

## What the import covers

In **Settings > Import and export**, upload a POHODA XML file. You first get a report of what would be created, updated or skipped, with any problems named row by row. Nothing changes until you run the import, and it then runs all or nothing.

| POHODA area | What happens |
| --- | --- |
| **Address book** | Imported. Contacts match by IČO, or by name when one side has no IČO. |
| **Invoices** | Issued and received invoices, credit notes, advance invoices, debit notes, other receivables and payables. They arrive as history: they post nothing themselves, and the accounting journal brings the postings. |
| **Cash and bank** | Imported as history. |
| **Orders and quotes** | Imported. |
| **Stock receipts and issues** | Imported as history, and they do not change stock levels. |
| **Stock and price lists** | Stock cards with quantities and prices are imported, and price lists too. |
| **GPSR, recycling fees, optional parameters** | Imported by Stormware’s XSD and linked to the cards. Parameters of stock, contacts and documents become custom fields. Where a document has none (cash, bank, stock) and for parameters of lines, they stay readable in the document’s note. GPSR attachments are only file names from the POHODA machine in XML, so the name and links come across and you upload the file by hand. A fee in grams or tonnes becomes kilograms, one in another unit stays and a coefficient on the card says how much is in a piece. |
| **Chart of accounts, posting templates, centres, activities, job orders** | Imported. Posting templates from tax records are not, because the XML has no accounts for them. |
| **Accounting journal** | Imported, and it posts to the books. |
| **Transfers, production, till receipts, enquiries, internal documents** | Come in as history by Stormware’s XSD: they post nothing and do not move stock. Till receipts and issued enquiries are with the sales documents, transfers and production in Stock. Internal documents and received enquiries are in the import archive, because they have no agenda of their own here. We have not tried them against a real POHODA export. |

You can undo a whole batch as long as nothing depends on it yet. Posted entries are reversed, not deleted.

**Opening balances** in double-entry accounting come from the POHODA accounting journal or a separate XLSX or CSV file, also with a report first. They take precedence over the balance stated on a bank account or cash desk, so nothing counts twice; the report warns you when the two amounts differ. **In tax records and single entry** a transition wizard takes you through the year so far: balances of accounts and registers, open receivables and payables, and income and expenses so far, so the tax base adds up. An open document reaches the cash book when it is paid, so it does not belong in income and expenses so far.

**Past documents** keep their VAT even in a company that is not a VAT payer today, and the import report says so. It goes into no return. An opening balance on 311 and 321 and imported open invoices are the same money: the book of receivables and payables counts them once and shows the rest as an amount with no document. Contacts can be imported from XLSX or CSV the same way.

**Assets and employees:** POHODA does not export them to XML. You upload asset cards, including accumulated depreciation, from a spreadsheet using our template. You prepare the columns from an Excel export, and we have not tried them against a real POHODA export. You upload employees and contracts from a spreadsheet using a template too; another row for the same person adds a contract. Further sheets of the template hold children, deductions, attendance and wages of past months, which count in the annual cap, averages, the year-end settlement and ELDP and post nothing.

**Number series do not move across.** Set the next number of each series so numbering continues.

You don’t need to move closed accounting years into DameDoklad. Archive them for the legally required period in the original program or as outputs.

We verified the import against STORMWARE’s sample files and schemas, not against a real company database. Run it in a test company first, with your own data.

## Checking

After importing, compare totals with POHODA:

- the number of contacts and stock items,
- the total of unpaid receivables and payables,
- the account balances in the trial balance, which must agree.

If you can, have your accountant confirm the check.

Create a test company first and try the import there. It won’t affect your real data.

## Running both

You can run both programs for a short while. Set a clear date from which new documents are only created in DameDoklad, so you don’t record anything twice.

## Taking your data with you

You can download everything at any time in **Settings > Import and export**: a ZIP with JSON, XLSX, PDF and attachments.
