# Travel and vehicles in plain words

Vehicle log, travel orders, meal allowances and reimbursement, and road tax figures.

**Travel and vehicles** is where you track cars, trips and business travel.

## Vehicle log

A **vehicle log** records each trip: date, route, purpose, driver and kilometres. It separates **business** and **private** trips, and the odometer runs automatically.

It serves as tax evidence, mainly when you claim the vehicle in costs. Check with your tax advisor whether you must keep one and in what detail.

## Travel orders

A **travel order** is an instruction for a business trip. After returning, you settle it:

- **Meal allowance** by the length of the trip.
- **Private vehicle reimbursement** by kilometres and the fuel price.
- **Fares and accommodation** from receipts.
- For **foreign trips**, pocket money and foreign currency too.

Rates are set by decree and configured in the app, for **2026 only**. 2027 goes in once the decrees are out. The settlement posts to the books, and you can add the reimbursement to the employee’s pay for that month, in a cash book with the trip’s VAT on the wage’s row. The fare for a family visit (§ 161) is entered in the currency it was paid in.

A **trip advance** can be paid from a cash desk or by transfer from a bank account. When you only learn of the transfer from a statement, pair the movement with the advance directly in Bank. Until the trip is settled, the pairing can be undone.

## Road tax

Vehicle records produce the figures for the **road tax return**; see [VAT and taxes](/en/docs/guides/taxes/).
