To do inbox
Upload or email received documents, let the values fill in by themselves, check them and create the received invoice.
To do is the one list of what is waiting for you: documents to finish, drafts, overdue invoices, advances to suppliers with no tax document and upcoming tax deadlines. It is also where received documents arrive, to become a received invoice or an advance to a supplier.
Getting documents in
- Upload a PDF, a photo (JPEG, PNG, WebP) or an ISDOC file, up to 25 MB.
- Email them to your company’s own address, shown on the same page, when your installation has the inbound mail gateway connected.
- From your mailbox, when you connect it in Settings > Incoming e-mail. An address, server, and password are enough, often an app password, and attachments come in by themselves every ten minutes. Gmail and Microsoft 365 work through a button, if the operator of your installation has turned them on.
Reading the values
An ISDOC file is read exactly, because it carries the data itself.
A PDF or photo is read by AI (Anthropic’s Claude), when it is turned on for your installation and your plan includes it. The document goes to Anthropic to be read; see the data processing agreement. Without it, you type the values in yourself next to a preview of the file.
A connected mailbox
Nothing changes on the mail server: we only read, and mark or delete nothing. Attachments go through the same checks as mail sent to the company address. An ordinary mailbox also gets advertising, so use Allowed senders to keep the ones you expect documents from. Without a list every attachment we can read comes into the queue, though nothing posts until you create it.
Messages are on the Mail tab, in the folders Unprocessed, Done and Sent. Done happens here, and on the server a message stays as it was. Text is kept as plain text. If you do not want it kept, turn that off under Folders and sending on the mailbox, and then only attachments are taken. There you also choose further folders to read and the outgoing server. Replying, forwarding and writing new messages work only when the operator has switched sending on. A sent message is not added to the Sent folder on the server.
The first connection reads 30 days back. The password is stored encrypted. When you disconnect a mailbox we forget the password, and documents already read stay.
Finishing a document
Open the document, correct what needs correcting and create the received invoice. The file is attached to it, and it posts unless you keep it as a draft. If it isn’t an invoice, take it out of the queue; the file is kept.
Through the API
Upload with POST /v1/inbox/documents. The rest of the flow is in the API reference, and the assistant can work through it over MCP too.
